    Job Summary
    Under minimal supervision, responsible for division operations pertaining to clinical management, administrative, financial, personnel, and organizational functions of the Divisions of Pediatric Endocrinology and Pediatric Pulmonary & Sleep Medicine in the Department of Pediatrics, University of Utah School of Medicine. In collaboration with the Division Chief and Department Administration, provides strategic support and leadership in planning, developing, and implementing new programs to advance the mission and goals of the division, and ensures ongoing quality of service in existing clinical and research programs. Assists in evaluating current and proposed systems and procedures; recommends changes when necessary and assists in implementation of new processes. Acts as a catalyst between the division and its customers and staff to ensure continuity and quality of service and care.

    Responsibilities
    Essential Functions
    The Division Administrator is responsible for the administrative, financial, personnel, and clinical management of the Divisions of Pediatric Endocrinology and Pediatric Pulmonary & Sleep Medicine. In collaboration with the Division Chief and Department Administration, the Division Administrator provides strategic support and leadership in planning, developing, and implementing new programs to advance the missions of the division; ensures ongoing quality of service in clinical, research, education, and service programs.
    Manages and oversees operations for the division’s clinical, research, and academic missions. Provides leadership to ensure quality patient care outcomes. Builds both cultural and support systems within the division to enable delivery of outstanding service to both internal and external customers. Monitors appropriateness and effectiveness of service and performance and implements improvement initiatives as appropriate. Ensures compliance with federal, state, and other regulatory requirements.
    Manages approximately 15 staff members including administrative/clinical support staff, nursing staff, and advanced practice providers who provide support to the division’s clinical, educational, and research operations. Oversees recruitment, selection, and onboarding of new staff into the division. Communicates standards of behavior, professional boundaries, and job expectations; identifies and provides training and development opportunities; acts as a mentor and coach; evaluates and provides ongoing feedback on performance and addresses poor performance when needed.
    Creates and supports an environment of excellence that fosters teamwork, collaboration, respect, and diversity where staff feel valued, appreciated, and recognized.
    Provides conflict resolution. Resolves problems and keeps lines of communication open with faculty and staff to ensure high employee morale and a professional, healthy atmosphere.
    Participates in strategic planning and facilitates quality improvement efforts. Continually monitors operations, programs, physical properties, and resource allocations. Proactively works to improve operations, continually refining processes and addressing customer needs while focusing on the long-term strategic role of delivery. Participates in business development and department site expansions. May be required to participate on various division and departmental project management/improvement teams.
    Works collaboratively with Primary Children’s Hospital (PCH) administration, maintaining strong institutional relationships between the division and PCH. Ensures operational efficiency of division operations at PCH and outreach clinic partners/facilities.
    Coordinates and manages contract renewals and negations for the division in collaboration with division chief and department administration.
    Initiates workflow and business process analysis and provides project plans from recommendation to implementation. Evaluates and revises as necessary to maximize efficiency and effectiveness.
    Develops and implements policies and procedures for the division that are consistent with department and university policies.
    Partners with internal and external customers and markets and promotes new and existing services and programs.
    Serves as a resource and assists faculty in administrative procedures as well as problem solving. May participate in faculty recruitment and work closely with the department’s credentialing specialist to ensure that providers are credentialed at the time of hire.
    Develops, tests, implements, and evaluates new and creative approaches to meeting division and department goals.
    Integrates trends in healthcare and the field of pediatric endocrinology and pediatric pulmonary & sleep medicine to forecast future division and department needs for program development, financial positions, and non-financial resources.
    Performs monthly reviews and analysis on all division dashboard indicators and operational reports; meets regularly with division chief to review progress on issues that impact division operations.
    Develops and administers the division’s annual budget (~$5M for the Division of Pediatric Endocrinology and ~$4.7M for the Division of Pediatric Pulmonary & Sleep Medicine) and is responsible for monitoring financial performance. Oversees the preparation of quarterly written variance analysis reports compiled by the division’s accountant for department administration. Oversees reconciliation of division operating accounts on a monthly basis. Approves purchase requests, travel reimbursements, and invoices in accordance with division and department policies and procedures. Reviews financials with division chief and division accountant on a monthly basis; identifies possible budget variance concerns and addresses as needed.
    Develops methods for fiscal analysis, conducts financial and quantitative analysis, and monitors existing programs and services. Identifies and implements strategies for timely, efficient, and compliant physician billing, reduction costs, and quality improvement of care/service for meeting the financial performance goals of the department and division. Ensures optimal utilization of all available financial resources including operating funds and external support.
    In collaboration with the division’s research manager, oversees the administrative and financial aspects of all division research activities.
